Proposal Coordinator
As a Proposal Coordinator, you'll coordinate the development and production of qualifications packages, proposals, interview materials, and other pursuit-related deliverables that help Osborn Consulting win meaningful work throughout the Pacific Northwest.
About the Role
In this position, you’ll work with a highly collaborative team to:
- Coordinate proposal development efforts from RFQ/RFP release through final submission.
- Manage proposal schedules, deadlines, and deliverables throughout the pursuit process.
- Facilitate proposal kickoffs, review cycles, and coordination meetings.
- Serve as the primary coordinator for proposal production, keeping content, graphics, reviews, and deadlines organized throughout the pursuit process.
- Coordinate content development with project managers, technical staff, business development leaders, and subconsultants.
- Write, edit, proofread, and tailor proposal content, project descriptions, resumes, and cover letters.
- Transform technical concepts into clear, compelling, client-focused messaging and engaging visual content.
- Develop proposal layouts, graphics, diagrams, and visual storytelling elements in Adobe InDesign, Illustrator, and/or Photoshop.
- Conduct quality-control reviews to ensure proposals are compliant, accurate, visually polished, and aligned with client requirements.
- Manage proposal production, formatting, final assembly, and submission.
- Support interview preparation and presentation development.
- Maintain and improve proposal resources, resume databases, project descriptions, and content libraries to support efficient proposal development.
- Support multiple concurrent pursuits while maintaining quality, accuracy, and attention to detail.

You're an exceptional writer and graphic designer with an eye for design and detail. You can take technical information from engineers, landscape architects, planners, and scientists and transform it into clear, compelling content that is easy for clients to understand.
You are naturally organized, proactive, and resourceful. You enjoy collaborating with subject matter experts, asking thoughtful questions, and helping teams put their best work forward. You take pride in producing polished, high-quality deliverables and enjoy seeing the pursuit progress from kickoff to submission.
You enjoy balancing multiple pursuits simultaneously, shifting priorities when needed, and finding ways to keep teams organized and on schedule.
This role is ideal for someone with AEC proposal experience who is ready to continue growing their skills in proposal coordination, technical writing, graphic design, and pursuit strategy.
We’re looking for someone with:
- 3+ years of proposal coordination experience in the AEC industry (in particular, proposals for public agencies).
- Excellent writing, editing, proofreading, and verbal communication skills.
- Excellent graphic design, layout infographic, and/or data visualization skills.
- Proficiency with Microsoft Office, including Word and PowerPoint.
- Proficiency with Adobe InDesign and Acrobat.
- Strong project management, organizational, and time-management skills.
- Ability to manage multiple deadlines, competing priorities, and concurrent pursuits.
- Experience collaborating with technical professionals and translating technical concepts into client-focused messaging.
- Strong attention to detail and commitment to producing high-quality work.
- Ability to work effectively in a fast-paced, deadline-driven environment.
It would be great if you also have:
- Experience with Deltek Vantagepoint or similar CRM systems.
- Experience supporting civil engineering and/or landscape architecture teams.
- Experience supporting shortlist interviews and presentation development.
- Experience maintaining proposal libraries, resume databases, and marketing content systems.
- Experience leveraging AI tools to support content development, research, and proposal workflows.*
Location
This role is hybrid with at least 3 days a week in office and can be based out of our Bellevue, Seattle, Bellingham, Vancouver, or Spokane WA locations.

The expected compensation range for this position for employees based in the Puget Sound area is $35-$45 dollars per hour and is dependent upon skills, experience, education and geographical location.
