Clinic Manager
The Role
The Clinic Manager is the clinical and operational leader of an Early STEPS clinic. You will set the tone for the building: making sure every client receives high-quality, ethical ABA services, every technician feels supported and knows what is expected, and the day-to-day operations of the clinic run smoothly. This is a hands-on leadership role for a BCBA who enjoys both direct clinical work and building a strong team culture.
You will carry a reduced billable caseload and dedicate the remainder of your time to supervision, staff development, scheduling oversight, family partnership, and clinic operations, with the backing of a Clinic Coordinator, Lead RBTs, and a centralized administrative team.
What You Will Do
Clinical Leadership
- Carry a billable caseload of approximately 20 hours per week (typically four to five clients) while leading the clinic.
- Provide clinical supervision and mentorship to RBTs, BCaBAs, and BCBAs working in the clinic.
- Support every client in the building, including clients whose primary BCBA is off-site, by monitoring progress, troubleshooting behavior, and helping adjust intervention strategies as needed.
- Oversee the curricula and assessment tools used in the clinic (for example, VB-MAPP and social skills programming) and ensure staff have access to them and are using them with fidelity.
- Ensure the clinic operates in full compliance with the BACB Ethics Code, state licensure requirements, and payer and regulatory standards.
Team Development
- Plan and lead monthly Early STEPS staff meetings and ongoing training in ABA principles and best practices.
- Hold regular check-ins with Lead RBTs and POD Captains so everyone is aligned and issues are addressed early.
- Conduct performance evaluations for clinic RBTs, deliver clear and constructive feedback, and recommend pay adjustments in line with company guidelines.
- Assist in interviewing, hiring, and onboarding clinical staff.
- Partner with the Clinic Coordinator and HR to coach staff, address session note timeliness and attendance concerns, and implement performance improvement plans when needed.
- Promote a positive, collaborative work environment that reflects the STEPS mission and values.
Scheduling and Operations
- Directly manage the Clinic Coordinator, meeting weekly to review clinic tasks, key performance indicators, and priorities.
- Oversee clinic schedules to ensure appropriate client-to-staff ratios, consistent morning and afternoon group programming, and thoughtful placement of new clients into peer groups (PODs).
- Review and approve non-billable time for clinic staff and ensure non-billable hours are used purposefully.
- Monitor session note completion and follow the company process for addressing unverified or overdue sessions.
- Oversee the clinic budget, keep supplies stocked, and fulfill weekly material requests from treating BCBAs.
- Communicate with the administrative team through shared project management boards for client, staffing, and operational updates.
Family Partnership
- Welcome new families into the clinic, coordinate a smooth start for each new client, and make sure the clinical team is prepared to support them from day one.
- Collaborate with caregivers, schools, and other professionals to support client goals.
- Communicate clinic policies (such as illness and food policies) to families and staff in partnership with the administrative team.
Clinic Environment and Safety
- Oversee the physical upkeep of the clinic, including submitting maintenance tickets, coordinating repairs with property management and vendors, and ensuring the building meets fire and safety codes.
- Serve as the first point of contact for building and facility concerns, escalating to leadership when needed.
What We Are Looking For
- Board Certified Behavior Analyst (BCBA) in good standing with the BACB, and licensed or license-eligible in the state of practice.
- Master’s degree in Applied Behavior Analysis, Psychology, Education, or a related field.
- At least three years of experience delivering ABA services; prior leadership, supervisory, or management experience strongly preferred.
- Deep working knowledge of ABA principles, behavioral interventions, skill acquisition programming, and data collection and analysis.
- Proven ability to lead, organize, and communicate clearly with technicians, colleagues, and families.
- Comfort with electronic health record and practice management systems used in ABA settings.
- Collaborative approach and the ability to work well within a multidisciplinary team.
- Strong problem-solving and decision-making skills, with the judgment to handle sensitive staff and client situations professionally.
Work Environment
- Primarily based in the clinic, with occasional in-home or school-based visits.
- Some travel may be required for staff training, community outreach, or client services.
- A flexible schedule is needed to meet the needs of clients and the clinic.
