Assistant Manager Operations
Job Summary:
The Assistant Manager – Operations supports the Operations in running and continuously improving the organization’s administration, facilities, HSE function, contracts and support-service across multiple sites. The role combines hands-on operational execution with a strong reporting and data-discipline mandate, ensuring that day-to-day operations remain transparent and auditable. The ideal candidate is a well-rounded operations professional who can manage fleet, facilities and administrative services while championing structured reporting, process discipline, and a proactive safety culture.
Job Responsibilities:
- Support the Operations department in planning, coordinating, and executing day-to-day operations across administration, facilities, fleet and support services at all sites.
- Own the accuracy, timeliness, and integrity of the operational data feeding the organization’s central operations reporting (executive reports), ensuring every function’s records are complete and reconciled.
- Prepare and present periodic operational reports, KPIs, and trend analyses to management, translating raw operational data into clear, actionable insight.
- Coordinate fleet, facility maintenance, inventory, recurring expenses, and vendor/contract activities, maintaining full records and audit trails.
- Support Health, Safety & Environment (HSE) function in line with the approved HSE policy and applicable regulations.
- Support the development and roll-out of operational SOPs, workflows, and the authority/approval matrix, anchoring them to what operational reporting makes visible.
- Identify opportunities for process improvement and automation across operational and HSE functions, and support their delivery.
- Ensure contract approvals, and administrative processes comply with policy, governance, and internal-audit requirements.
- Coordinate across departments, sites, and vendors to ensure smooth, cost-effective, and compliant operations.
- Monitor operational performance against targets, flag exceptions and risks early, and propose practical, operations-first solutions.
Required Skills:
- Strong all-round understanding of administrative, facilities, HSE and support-service operations across multiple sites
- Strong reporting, data-discipline, and analytical skills, with the ability to turn operational data into clear management insight
- Working proficiency with MS Excel for operational reporting
- Solid process mapping, SOP development, and process-improvement capabilities
- Excellent stakeholder management, coordination, and cross-functional collaboration skills
- Strong planning, organizing, and delivery-tracking abilities across concurrent workstreams
- High attention to detail, integrity, and ownership of accurate, auditable records
- Ability to work independently, prioritize effectively, and drive tasks to closure with minimal supervision
- Reporting / Power BI is a preferred skill
Experience:
- Minimum: 07 years in operations/administration, with at least 03 years in a supervisory or assistant-manager capacity.
- Preferred: 10 years, with a proven track record of managing multi-site operations, and delivering structured operational reporting.
Education/Qualification:
- Minimum: Bachelor’s degree
- Preferred: Masters degree in Business Administration, Public Administration, Management, or related field
- Added advantage: HSE certification (e.g. NEBOSH / IOSH) and familiarity with BI/reporting tools.
