On Demand Counseling provides outpatient mental health and substance use disorders treatment in Mahoning, Trumbull and Columbiana counties. We offer a variety of services including one-on-one counseling, telehealth, group therapy, and supportive services. Position Summary

We are seeking a compassionate, detail-oriented, and customer-focused Front Desk Check-In Specialist to join our behavioral health team at our Austintown location. As the first point of contact for our clients, you will play a vital role in creating a welcoming and professional experience while ensuring all patient information is accurate and complete. The ideal candidate is organized, enjoys working with people, and understands the importance of confidentiality and exceptional customer service in a healthcare setting.

This is a full-time position with hours consisting of Monday-Friday 8-4.

Key Responsibilities

  • Welcome and check in patients in a friendly, professional, and compassionate manner.
  • Review and update patient demographic information for accuracy.
  • Explain, obtain, and process all required patient consent forms and agency documentation.
  • Verify insurance information directly with patients and ensure coverage details are current.
  • Collect insurance cards, identification, and any required documentation.
  • Answer incoming phone calls and assist patients with scheduling and general inquiries.
  • Maintain accurate electronic health records (EHR) by entering and updating patient information.
  • Coordinate with clinical and billing teams to resolve demographic or insurance discrepancies.
  • Ensure all patient paperwork is completed before services are provided.
  • Protect patient confidentiality and comply with HIPAA regulations.
  • Maintain a clean, organized, and welcoming reception area.
  • Perform other administrative duties as assigned.
  • Qualifications
    • High school diploma or GED required; associate degree preferred.
    • Minimum of one year of experience in a medical office, behavioral health, or healthcare setting preferred.
    • Experience verifying medical insurance and collecting patient information preferred.
    • Strong attention to detail and organizational skills.
    • Excellent communication and interpersonal skills.
    • Ability to multitask in a fast-paced environment.
    • Proficiency with Microsoft Office and electronic health record (EHR) systems.
    • Knowledge of HIPAA and patient confidentiality requirements.
    Preferred Qualifications
    • Experience working in behavioral health or substance use treatment.
    • Familiarity with Medicaid, Medicare, and commercial insurance plans.
