Position Summary
The Operations Manager reports to the CEO and supports the day-to-day operational functions of CampFire. This role partners with leadership to maintain efficient business processes, coordinate administrative and financial activities, support project execution, and ensure the team has the resources needed to meet client commitments.
Key Responsibilities
- Coordinate day-to-day business operations, workflows, and internal processes.
- Help maintain organization, accountability, and operational efficiency across the company.
- Assist with invoicing, accounts receivable tracking, expense reporting, and coordination with the company bookkeeper or accountant.
- Maintain working knowledge of QuickBooks and help ensure financial information is accurate and current.
- Prepare operational and financial reports for leadership review.
- Assist with contract administration, proposals, statements of work, and client documentation.
- Coordinate staffing schedules, project assignments, workloads, and resource planning.
- Monitor project status and help ensure deadlines and client commitments are met.
- Identify opportunities to improve systems, processes, and operational efficiency.
- Support vendor management, office administration, and business operations as needed.
- Provide practical support and problem-solving assistance across departments.
- Help maintain a positive client experience through strong communication and follow-through.
What We Are Looking For
An organized, proactive operations professional with 3-5 years of experience supporting business operations, project coordination, administration, or client service functions. Experience with QuickBooks, invoicing, project coordination, and process improvement is preferred.
Entrepreneurial Expectations
CampFire is an entrepreneurial company, and this is a critical role. While we value flexibility and work-life balance, the position must be comfortable occasionally working early mornings, later afternoons/evenings or limited weekend time when the CEO schedule, client needs or business priorities require it. Success will depend on being responsive, adaptable and closely connected
to the CEO, Director and broader team.
