Position:                            Development Marketing/Admin – Part Time

Reports to:                         Principal and Chair of Development Committee

 

Responsibilities:

Management of Donor/Advancement data base – Little Green Light

    • Establishing constituents, gifts and generating acknowledgements
    • Creating letter templates
    • Understanding of emails acknowledgements vs letter acknowledgements
    • Management of donation hierarchy for school fiscal year including setting up new Funds
    • Ability to troubleshoot and solve recording and reporting issues.
    • Understanding of mailing lists – how to create, update and maintain
    • Creation of reports – all types including donor, fund, accounting and gift type reporting as needed throughout year.
    • Monthly reconciliation of LGL to the General Ledger and follow up with differences – prepare LGL files compare – ensuring differences are resolved.
    • Management of Email Database – Constant Contact
    • Website Maintenance for Alumni Events 



Annual Appeal:

  • Coordinate gathering of mailing addresses and merging mail list
  • Coordinate key annual message with Principal
  • Develop email and launch via Constant Contact
  • Work with Annual Appeal alumni lead on ensuring project deliverable are met

 

Other Admin duties:

  • Review emails to the Development office and either respond or alert Principal or Development chair – weekly or as needed
  • Return phone call messages to Development – weekly or as needed (low volume)
  • Maintain all Fund Documents
  • Help alumni classes with list for reunions – from our database
  • Manage and review development expenses with Finance Manager

 

OTHER PROJECTS AS REQUIRED BY PRINCIPAL OR DEVELOPMENT COMMITTEE

Knowledge/Skills

  • Strong working knowledge of Excel and Word including creating mail merges
  • Ability to create email marketing campaign content
  • Willing to learn and ability to solve problems
  • Highly organized
  • Ability to work without direction
  • Ability to plan deliverables and manage self to the plan timeline
  • Attention to detail

  • Enjoys databases, numbers and being creative
  • Good communicator
  • Marketing and administrative background desired

 

Commitment: Part-Time  

  • Expected total of ~275 hours per school fiscal year (35-40 hours July- Sept; 90-100 hours Oct-Dec; 60-70 hours Jan-Mar; 60-70 hours April -June).  Can work remotely.  School presence in fall required at times.
