- Monitoring and maintaining office equipment and inventory supplies; orders replacement supplies as needed
- Creating, updating, and maintaining HR and Admin records and databases.
- Assist on updating office policies and procedures
- Scheduling company calendar and updating as needed
- Preparing reports on expenses, office budgets, and other expenditures when needed
- Provide support on department managers, staff, and President employment-related requests (COE request, employment verification, etc)
- Preparing travel arrangements for office staff and managers; overseeing and preparing expense reports and budgets
- Coordinating building and maintenance issues for general repair and updating. (heating and air conditioning, security, etc.)
- Organizing special functions and social events
- Organize and maintain a filing system for important and confidential company documents
- Answer queries by employees, suppliers and clients
- Assist on handling some basic HR roles (hiring /on-boarding process, employee background check, 201 filing / record management, employment contracts etc.)
- Assist on imposing employee discipline when needed
- Assist in preparation of annual performance evaluation
- Assist in time keeping and preparation of internal memorandums
- Assist on preparation for payroll and process disbursement through online banking.
- Prepare report and process remittance payment for government contributions and loan payment.
- To liaise/process transaction/filing with DOLE / Bureau of Immigration (for Expats)
- Assist in the preparation for all audits and examinations and review of all documentation for same;
- Assist on managing trainings required such as but not limited to of AML, IT Security, Data Protection training program for entire Philippine staffs
- Communicate with Philippine regulatory/government agencies with oversight of Company (DOLE, SEC, SSS, HDMF, Philhealth); and
- Assists Compliance and Admin Manager on submission of reportorial requirements to the government agencies
- Regular interaction with the Compliance / Admin Manager and Officer.

- College degree or the equivalent (further advanced education a plus) and regular continuing education in Human Resource and/or Business Administration
- Solid knowledge of office procedures
- Fluency with and use of Excel spreadsheets
- Has prior experience as an office assistant, office administrator, or handling administrative responsibilities in a related field
- Ability to handle highly sensitive and confidential information.
- Highly organized multi-tasker who works well in a fast-paced environment
- Excellent written and verbal communication skills
- Excellent time management skills; ability to prioritize
