Summary: The Patient Registration Specialist is responsible for providing professional and courteous customer service while coordinating patient registration, scheduling, intake, and administrative support functions for the health clinic. This position ensures accurate patient information is collected and maintained, assists patients with appointment scheduling and intake procedures, and supports the overall efficiency of clinic operations while maintaining strict confidentiality and compliance with HIPAA regulations.

Responsibilities:

  • Greet patients, visitors, and community members in a professional and courteous manner. 
  • Register patients and accurately collect, verify, and update demographic, insurance, eligibility, and contact information in the Electronic Health Record (EHR) system. 
  • Schedule, reschedule, and confirm patient appointments in accordance with clinic procedures. 
  • Answer and route incoming telephone calls and assist patients with general questions and appointment requests. 
  • Verify patient insurance, alternate resources, and eligibility documentation as required. 
  • Obtain and scan identification cards, insurance cards, referrals, consent forms, and other required documentation into the patient record. 
  • Prepare and maintain patient charts, forms, and clinic documentation. 
  • Assist patients with intake forms, registration paperwork, and required clinic documentation. 
  • Coordinate patient check-in and check-out procedures. 
  • Collect co-payments, fees, and other required documentation in accordance with clinic procedures. 
  • Maintain accurate records, logs, and reports related to patient registration and clinic activities. 
  • Assist providers and clinical staff with administrative support functions as needed. 
  • Maintain cleanliness and organization of the reception and waiting areas. 
  • Maintain confidentiality of patient and clinic information in accordance with HIPAA and clinic policies. 
  • Provide excellent customer service while maintaining professionalism, compassion, and cultural sensitivity. 
  • Assist with community outreach events, health fairs, and clinic activities as assigned. 
  • Perform other duties as assigned.


Knowledge, Skills and Abilities:

  • Knowledge of general office procedures, customer service practices, and medical office operations. 
  • Knowledge of Electronic Health Records (EHR), patient scheduling systems, and basic medical terminology preferred. 
  • Knowledge of HIPAA regulations and patient confidentiality requirements. 
  • Ability to communicate effectively both verbally and in writing with patients, staff, providers, and the public. 
  • Ability to maintain professionalism and provide excellent customer service in a fast-paced environment. 
  • Ability to maintain accurate records and attention to detail. 
  • Ability to prioritize tasks, multitask, and meet deadlines. 
  • Ability to work independently and collaboratively as part of a healthcare team. 
  • Ability to maintain confidentiality and exercise sound judgment. 
  • Skilled in basic computer applications including Microsoft Office, data entry, email, and office equipment. 
  • Ability to establish and maintain effective working relationships with patients, staff, and outside agencies.


Qualifications:

  • High School Diploma or GED required. 
  • One (1) year of experience in patient registration, medical office support, customer service, receptionist duties, or related office experience preferred. 
  • Experience working in a healthcare or clinic setting preferred. 
  • Knowledge of medical terminology and insurance verification is preferred. 
  • High level of computer literacy required. 
  • Strong interpersonal, organizational, and communication skills required. 
  • Must possess a valid Nevada Driver’s License preferred. 
  • Must pass a pre-employment drug test
  • Must successfully pass a background investigation.
