The Opportunity
True Mechanical is looking to hire a Construction Designer to join our Puchasing Team.
The Purchasing Assistant supports the Purchaser with the day-to-day coordination and administration of purchasing, material orders, rentals, supplier information and deliveries. The role helps ensure materials and equipment are ordered accurately, purchase information is kept current, and project teams receive what they need when they need it. (this is loose!)
Role & Responsibilities
- Purchasing & Purchase Orders
- Prepare and process purchase orders as directed by the Purchaser.
- Obtain supplier quotes and assist with price comparisons for materials, tools and consumables.
- Place routine material and consumable orders within established purchasing processes and approved suppliers.
- Confirm pricing, quantities, availability and delivery dates with suppliers.
- Maintain accurate purchasing records and supporting documentation.
- Order & Delivery Coordination
- Track outstanding purchase orders and follow up with suppliers on order status.
- Coordinate delivery information with project teams and job sites.
- Follow up on backorders, shortages, incorrect shipments and delivery discrepancies.
- Communicate changes or potential delivery issues to the Purchaser and appropriate project team.
- Invoice & PO Support
- Assist with matching supplier invoices to purchase orders and receiving information.
- Identify pricing, quantity or delivery discrepancies for review by the Purchaser.
- Follow up with suppliers to obtain credits, corrected invoices or supporting documentation as required.
- Vendor & Pricing Administration
- Maintain current supplier contact information, price lists and purchasing records.
- Assist the Purchaser with semi-annual price comparisons of key product lines.
- Collect information required for supplier rebate programs.
- Support vendor meetings and maintain records of agreed pricing and purchasing arrangements.
- Rentals, Tools & Consumables
- Arrange routine equipment and tool rentals as directed and track return dates.
- Follow up with project teams to ensure rentals are returned promptly when no longer required.
- Assist with purchasing stocked consumables, tools and equipment.
- Coordinate with Tools & Deliveries regarding material/tool availability and site requirements.
- General Purchasing Support
- Monitor purchasing requests and assist in prioritizing urgent project requirements.
- Maintain purchasing logs and other tracking systems.
- Work closely with Project Managers, Project Coordinators, Forepersons, VDC, Prefab, Accounting and Tools & Deliveries.
- Provide administrative and coordination support to the Purchaser as required.
