Senior Associate - Business and Change Management

Support and drive the delivery of strategic, regulatory, governance and operational initiatives across Waystone Management Company (Lux) S.A. and associated business activities. The role combines change management, business analysis, governance support and project delivery responsibilities, working closely with senior stakeholders across the organization to ensure successful implementation of business priorities, regulatory developments and operational improvements.

The role requires a hands-on and highly organised professional who can independently manage initiatives, coordinate stakeholders, prepare high-quality management and governance materials, and contribute to the ongoing enhancement of business processes, governance frameworks and operational effectiveness.


Role and Responsibilities:


Business & Regulatory Change

· Support and drive the analysis, planning and implementation of operational, regulatory and business change initiatives.

· Manage the delivery of local strategic projects and coordinate the implementation of Group-led initiatives.

· Develop and maintain project plans, action trackers, governance logs and implementation roadmaps.

· Monitor project progress, identify risks and dependencies, and escalate issues where appropriate.

· Support the implementation of regulatory developments impacting the Luxembourg Management Company and related business activities.


Governance & Executive Support

· Prepare high-quality reports, presentations and materials for Boards, Conducting Officers, Committees and senior management.

· Support governance processes through the maintenance and tracking of action logs, remediation plans and decision registers.

· Assist with governance framework enhancements and organisational initiatives.

· Support responses to internal audits, external audits, regulatory reviews and inspections.


Business Management & Operational Resilience

· Support the local outsourcing oversight framework in coordination with the group function.

· Lead due diligence and RFP activities, including drafting responses, coordinating information requests and managing onsite visits.

· Drive operational resilience initiatives, business continuity planning activities and local BCP testing.

· Coordinate industry surveys, peer benchmarking exercises and market research initiatives, providing practical recommendations and insights.


Business Analysis & Process Improvement

· Analyse existing business processes, operating models and governance frameworks and recommend improvements.

· Support the design and implementation of operational efficiency initiatives.

· Draft and maintain procedures, process documentation and governance documentation.

· Contribute to the continuous enhancement of business processes, controls and governance arrangements.


Stakeholder Management

· Build and maintain effective relationships with stakeholders across local and global teams.

· Coordinate cross-functional initiatives involving Operations, Compliance, Risk, Technology, Finance, HR and other business functions.

· Facilitate workshops, meetings and working groups to support project delivery and decision-making.

· Ensure effective communication and alignment across all stakeholders involved in assigned initiatives.


Preferred Experience

· 5–8 years' experience in financial services, consulting or a regulated environment.

· Experience within a Management Company, AIFM, UCITS platform, asset manager, fund administrator, professional services or regulatory consulting environment is preferred.

· Experience delivering business transformation, governance, operational or regulatory change initiatives.

· Experience preparing materials for Boards, Committees and Senior Management.

· Experience coordinating multiple stakeholders across functions and jurisdictions.


Skills & Competencies

· Strong command of English, both written and spoken.

· Excellent stakeholder management, communication and interpersonal skills.

· Strong analytical, problem-solving and critical-thinking abilities.

· Excellent organisational and project management skills.

· Ability to manage multiple priorities simultaneously while maintaining high attention to detail.

· Strong drafting and presentation skills, including preparation of governance and executive-level materials.

· Advanced Microsoft Office skills, particularly Excel and PowerPoint.

· Experience with SharePoint, Salesforce, Power BI and project management tools would be advantageous.

· Ability to work independently while operating effectively in a collaborative team environment.

· Demonstrates initiative, ownership, adaptability and a continuous improvement mindset.


Education:

· Degree in Finance, Economics, Business Administration, Law or a related discipline.

· Postgraduate qualification or relevant professional certification would be advantageous.

· Project management, governance, risk or regulatory qualifications are considered beneficial.
