Elk Grove Village, Illinois, (pop. 33,127), a strategically located, progressive community that is home to the largest consolidated business park in North America, is seeking a dynamic, detailed and skills-oriented candidate for the position of Administrative Specialist in the Office of Human Resources.  Elk Grove Village is located in Cook and DuPage Counties adjacent to O’Hare International Airport and is home to approximately 3,600 businesses, located in its 5.4 square mile Business Park.  

The Office of Human Resources (HR) is a division of the Village Manager’s Office. Staff within HR are the stewards of the Village’s greatest strategic asset and are responsible for championing a unified and dedicated workforce. Areas of focus for the Office of Human Resources include strategic talent management; onboarding and professional development; compensation and benefits administration; employee recognition and engagement; personnel records and data integrity; employee and labor relations; and regulatory compliance and policy implementation. 

 

The Administrative Specialist provides comprehensive administrative and operational support to the Human Resources department, ensuring the efficient delivery of HR services and maintaining accurate, confidential employee records. This position serves as a point of contact for employees, applicants, and staff while supporting recruitment, onboarding, benefits administration, compliance, and other HR functions. The ideal candidate is highly organized, detail-oriented, customer service-focused, able to manage multiple priorities in a fast-paced environment and has excellent written and verbal communication skills.


KEY RESPONSIBILITIES:

  • Provides administrative support for the daily operations of the Human Resources Department, including front-counter responsibilities, customer service, correspondence, and general office support.
  • Maintains accurate and confidential employee records, personnel files, and departmental records in both electronic and paper formats in accordance with applicable policies and record retention requirements.
  • Enter, update, and maintain information within Human Resources platforms and information systems and generate reports to support departmental operations, budgeting, and compliance.
  • Coordinate administrative activities related to recruitment, hiring, onboarding, employee separations, and other employment transactions.
  • Support new employee orientation by preparing onboarding materials and coordinating required documentation.
  • Coordinate employment-related screenings, verifications, and required documentation ensuring timely communication with Human Resources staff.
  • Assist with tracking and maintaining employee training, certifications, performance evaluations, and other required employment records.
  • Respond to routine inquiries from employees, applicants, and the public regarding Human Resources policies, procedures, benefits, and employment-related matters, referring complex issues to appropriate staff.
  • Process departmental invoices, maintain departmental supplies, and provide administrative support for efficient department operations.
  • Coordinate the employee recognition program and other Human Resources initiatives as assigned.
  • Respond to requests for employment verification, personnel records, and other authorized information in accordance with applicable laws and Village policies.
  • Perform other related duties and special projects as assigned.



MINIMUM QUALIFICATIONS: Completion of 30 credit hours of college course work toward an Associate’s Degree is required, with an Associate’s Degree preferred, as well as a minimum of four years of comprehensive and progressive work responsibilities, or any equivalent combination of education, experience and training. Requires proficiency with Word, Excel and Outlook.

 

HIRING RANGE & SALARY:
The hiring range for this position will be $62,657-$71,390, depending on education, experience and training, with a total salary range of $62,657-$88,859.

HOURS OF WORK: This is a non-exempt, full-time, in-office position working regular hours, Monday through Friday from 8:30 a.m. to 5 p.m. (37.5 hours per week).
