KEY ROLES AND RESPONSIBILITIES

The Procurement Officer will be responsible for sourcing and procuring goods and services, while working closely with key stakeholders in management.


This role will report to the Head of Finance


In more detail, the areas of responsibility include:

  • Be involved in sourcing, evaluating and selecting suppliers for goods and services in adherence with approved requisitions and procurement plans.
  • Evaluate and screen vendors and suppliers based on price, quality and delivery speed to secure optimal products and services for the best price.
  • Maintain accurate records of procurement activities, including purchase orders, invoices and delivery receipts.
  • Monitor stock movement and conduct regular stock counts to reconcile discrepancies.
  • Ensure all office floors are stocked up on stationery and office supplies.
  • Assist in storing and organizing inventory items, maintaining any inventory files, managing stock levels.
  • Conduct regular quality checks.
  • Maintain an effective store management system.
  • Provide monthly reports on inventory and procured items.
  • Ensure proper handling of perishable food products if any, coordinating and supervising outsourced cleaners, tea assistants.
  • Ensure all procurement activities comply with Zamara's procurement policy and relevant regulatory requirements, including declaring and managing any conflicts of interest and upholding anti-bribery and anti-corruption standards.
  • Perform any other duties as may be signed from time to time.


KEY RELATIONSHIPS 

The Procurement Officer works closely with the Finance Department on budget approvals, invoice processing and payment cycles, with Department Requisitioners across the business to understand procurement needs and ensure timely fulfilment with Suppliers and Vendors on sourcing, contracting and performance management.


KEY SKILLS AND QUALIFICATIONS 

The following experience is preferred: 

  • Minimum of 3 to 4 years’ experience in procurement and inventory management.
  • Degree in Procurement/Purchasing/Supply Chain Management.
  • Familiarity with inventory management software and systems.
  • Relationship building & networking skills at all levels.
  • Highly organized individual with the ability to multi-task.
  • Strong negotiation skills, with the ability to secure favourable terms and pricing while maintaining supplier relationships.
  • Strong attention to detail and accuracy
  • Sound understanding of procurement ethics, compliance and integrity standards.
