Role Summary:


We are seeking a detail-oriented and proactive Operations Executive to support our global government services team in executing and coordinating port operations. The ideal candidate will bring a structured mindset, strong analytical skills, and the ability to thrive in a dynamic, fast-paced maritime environment. 


Contract: Permanent

Location: Dubai, UAE (On-Site)


Key Duties and Responsibilities:


  • Handle vessel port calls from initial appointment/LOGREQ through completion and final closure.
  • Coordinate with local agents, port authorities, suppliers and other service providers for all vessel requirements.
  • Coordinate husbandry services including crew changes, transportation, provisions, fresh water, waste disposal, bunkers, spares, technical attendance and other vessel requirements.
  • Understand and coordinate the logistics involved in sourcing, collection, delivery, customs/port formalities and movement of materials, spares and services to/from the vessel.
  • Prepare and review PDAs, cost estimates and P&Ls;, ensuring costs are accurate and commercially controlled.
  • Follow up vessel requirements before arrival, during the port call and until departure, ensuring proper coordination between all involved parties.
  • Maintain direct and professional communication with vessels, clients, agents, suppliers and internal stakeholders, providing timely operational updates.
  • Review supporting documents, invoices and completed services to ensure proper operational and financial closure.
  • Maintain accurate operational records and comply with required SOPs, KPIs and reporting deadlines.
  • Handle multiple vessel calls simultaneously and escalate operational, logistical or commercial risks when
    required.


Preferred Qualifications & Skills:


  • Previous experience in port agency, vessel operations or ship management is strongly preferred.
  • Good understanding of vessel port-call requirements, husbandry services and marine operations.
  • Good logistical understanding, particularly vessel supply coordination, deliveries, transportation and port/customs requirements.
  • Strong coordination skills and ability to manage several parties at the same time, including vessel, client, agent, suppliers and internal teams.
  • Commercial awareness and basic experience with PDA/FDA, quotations and cost control would be an advantage.
  • Strong English communication skills, both written and verbal.
  • Good Excel and Microsoft Office skills.
  • Strong follow-up, attention to detail, responsiveness, ability to coordinate across different time zones, and capability to work independently under pressure.
