Senior Operations Officer

The Senior Operations Officer supports the banking operations and securities operations by ensuring accurate and controlled payments and settlements process and execution of securities processing in accordance with internal process and adherence to regulatory requirements.

Main Duties and Responsibilities:

Banking Operations

• Review, verify, and process operational transactions including:
  • Domestic and international payments
  • Wire transfers
  • Internal transfers
  • Treasury-related transactions
  • Client cash movements
• Perform transaction verification and validation in accordance with authorization matrices and internal control procedures.
• Ensure all supporting documentation and approvals are complete prior to processing transactions.
• Monitor daily operational queues and ensure timely completion of pending items.
• Investigate and resolve operational exceptions and processing discrepancies.
• Support SWIFT, correspondent banking, and settlement-related activities.
• Assist with BACH/ACH operational processing and exception management where applicable.

Ensure operational activities are processed within established SLAs, where applicable and regulatory timelines.

Securities Operations

• Support processing of:
  • Securities trades
  • Corporate actions
  • Dividend and coupon payments
  • Security transfers
  • Settlement instructions
  • Custody-related activities
• Coordinate trade settlement activities with brokers, custodians, counterparties, and internal teams.
• Monitor failed trades and settlement breaks and ensure timely resolution.
• Maintain accurate records of client holdings and securities positions.
• Assist with mutual fund and pension fund operational processing where applicable.
• Support onboarding and operational setup of new securities products and investment structures.
• Ensure proper operational support for investment management and brokerage activities.

 

Reconciliations and Controls

• Perform or review daily reconciliations including:
  • Nostro/vostro accounts
  • Custody accounts
  • Securities positions
  • Cash accounts
  • Transit/Clearing/Suspense accounts
• Investigate reconciling items promptly and escalate aged items.
• Ensure operational processes comply with maker-checker and segregation of duties requirements.
• Assist in maintaining strong operational controls and audit readiness.
• Support remediation of operational backlog items and control weaknesses.

Operational Controls

• Ensure four-eye or six-eye control procedures are followed.
• Review transaction documentation and approvals.
• Monitor for operational errors and exceptions.
• Escalate operational risk incidents, breaches, or unusual activities promptly.

Compliance

• Ensure periodic regulatory reporting is being prepared and submitted to the respective regulators in a timely manner, without exception.
• Ensure compliance with internal operational policies and procedures, regulatory requirements and AML / KYC policies
• Payment authorization limits
• Assist external and internal auditors during operational reviews and audits.

Process Improvement

• Identify opportunities for automation and efficiency improvements.
• Assist in system implementation projects.
• Participate in operational policy updates and procedure documentation.

Reporting

Prepare operational reports as required, including, but not limited to:

• Transaction volumes
• Processing errors
• SLA performance, where may be required
• Reconciliation status
• Operational risk incidents

Requirements/Qualifications:

• Bachelor’s Degree in Business Administration, Accounting, Economics, or related field.
• 5 – 7 years’ banking operations/administrative/accounting experience a plus
• Analytical abilities and proficiency in problem-solving.
  
• Strong attention to detail
• Excellent administrative skills with strong proficiencies in Microsoft Office Suite programs
• Knowledge of Bahamian banking and securities regulation a plus
• Ability to navigate core banking applications and understanding payment rails (BACH) and SWIFT messaging system.
• Knowledge of Olympic application a plus
